The Automated Board
One of the main chores of the Board Office of IBB (central subsidy bank of the Federal Land of Berlin, Germany) is to guarantee a permanent and smooth resolution-making process in committees. This chore involves the following tasks: meeting planning, central/decentral creation of standardized staff reports, minutes-taking in committee meetings, resolution tracking as well as the management of reports and resolutions. In 2005 it was decided to purchase Session to fulfill these tasks. From a technological point of view, Session provides for ideal integration capabilities with IBB's existing system environment. The previously-defined standard processes can be translated to a system workflow through the integration of a Windows user interface, MS Word as word processor and Lotus Notes as the e-mail client. Existing document templates can be kept, unitized and customized to meet IBB’s needs and requirements. Session is designed as a closed system which stores all committee work activities and items centrally in a database and covers all aspects of meeting management in a user-friendly application and therefore allows for the assignment of responsibilities and deadlines for all process steps. The current editing status is displayed to the users in a transparent and comprehensible way. IBB enjoys in particular the screen and content-related permission management. |
